NPACE Exhibitor Rules & Regulations:

NPACE General Exhibit Information:

A limited number of booths are available at each of the NPACE conferences. Exhibit space is table top. Each exhibitor will be provided with a 6-foot table, two-three chairs, and three name badges.

The NPACE exhibit hall is for the purpose of providing education and information on products and services that are used in patient care or to operate a professional healthcare practice. A limited number of non-healthcare exhibits may be available at each event. Please contact NPACE for more information.

Friend of NPACE Booth: $1,600

Benefits include:

  • Recognition on signage displayed in the exhibition hall
  • Special ribbon for your personnel to wear designating them as Friends of NPACE

Exhibitor Rules and Regulations:

PERMISSION TO EXHIBIT: NPACE reserves the right to decide who may exhibit. NPACE need not give a reason for not renting space to a proposed exhibitor.

MEETINGS, EVENTS, FOCUS GROUPS, AND UNOFFICIAL FUNCTIONS: Any company interested in planning events or interaction with conference attendees that are not part of the official NPACE meeting, must obtain approval from NPACE. This includes social functions, promotional events, research activities, dinner programs, and hospitality suites.  EXHIBIT STAFF REGISTRATION: Each company representative who is issued an exhibitor badge must be employed by the exhibitor named on such badge or have a direct business affiliation with such exhibitor. Exhibitor badges do not allow access to the educational sessions.

EXHIBIT SPACE EQUIPMENT AND SERVICE INFORMATION: Exhibitor agrees to be bound by NPACE rules and regulations and to abide by all applicable rules as set forth in the contracts of labor unions whose jurisdictions apply to this exhibition in this facility. All exhibits must maintain a professional appearance at all times. NPACE reserves the right to restrict individuals, exhibits or printed matter that, because of noise, method of operation, materials or any other reason, are considered objectionable by NPACE in its sole discretion, and also to prohibit or remove any exhibit that NPACE may consider, in its sole discretion, as detracting from the general character of the conference as a whole or that consists of products or services inconsistent with the purpose of the exhibition. Displays and demonstrations, as well as distribution of literature or other items, must be limited to the confines of Exhibitor’s own booth. Any demonstration or activity that results in excessive obstruction of aisles or prevents ready access to nearby exhibitors’ booths shall be suspended for any periods of time as may be specified by NPACE. NPACE retains the exclusive right to revise the exhibition hall floor plan and/or move assigned exhibits as it deems necessary, in its sole discretion.

CANCELLATION & REDUCTION: Exhibit fees are nonrefundable. The Exhibitor shall be responsible for payment of the total exhibitor fee whether the conference is cancelled, delayed, relocated, in whole or in parts, as a result of riot, strike, civil disorder, act of war, act of terrorism, Government regulation, or any other cause of any kind whatsoever not entirely within NPACE’s control, as determined by NPACE in its sole discretion (including, without limitation, a cancellation by Exhibitor). If a conference is cancelled due to riot, strike, civil disorder, act of war, act of terrorism, Government regulation, or any other cause of any kind whatsoever not entirely within NPACE’s control, Exhibitor may transfer payment to another NPACE conference within 1 year. Furthermore, should NPACE terminate this contract or cancel the Conference pursuant to the terms of this paragraph, Exhibitor hereby waives claims for damages arising therefrom.

TAXES AND LICENSES: Exhibitor shall be responsible for obtaining any licenses, permits or approvals required pursuant to any local, state or federal law applicable to Exhibitor’s activities at the Conference. Exhibitor shall be responsible for obtaining any tax identification numbers and paying all taxes, license fees or other charges that shall become due to any governmental authority in connection with Exhibitor’s activity at the Conference.

LIABILITY: Neither NPACE, the facility or the decorator, nor any of their respective employees, agents or representatives, shall be responsible for any injury, loss or damage that may occur to the Exhibitor, the Exhibitor’s employees, property, or to any person visiting the sponsor’s and/or exhibitor’s contracted space for any cause whatsoever. Under no circumstance shall NPACE be liable for lost profits or any other incidental, special, punitive or consequential damages. Exhibitor shall obtain, at its own expense, adequate insurance against any such injury, loss or damage. NPACE shall not be liable for failure to perform its obligations under this contract as a result of strikes, terrorism, or riots. Anyone visiting, viewing or otherwise participating in the Exhibitor’s exhibit is deemed to be the invitee or licensee of the Exhibitor, rather than the invitee or licensee of NPACE. Exhibitor agrees to abide by existing agreements and regulations covering the use of services or labor in the conference and exhibit facility. NPACE shall bear no responsibility for the safety of the Exhibitor, its personnel, employees, agents or representatives or personal property.

There is no other agreement or warranty between the Exhibitor and NPACE except as set forth in this document. The rights of NPACE under this contract shall not be deemed waived except as specifically stated in writing and signed by an authorized officer of NPACE. Any action that NPACE or Exhibitor may bring against the other, based upon or in any way relating to this Exhibit Space Contract or its performance, shall be brought in a federal or state court located within the Commonwealth of Massachusetts, and NPACE Exhibitor do hereby waive all questions of personal jurisdiction or venue in order to give effect of this provision.

INDEMNIFICATION: Exhibitors agree to indemnify and hold harmless NPACE and its employees, directors, officers, agents, and representative from any and all claims or causes of action resulting from any damage, injury or loss to persons or property caused by or in any way connected with the exercise of the Exhibitor privileges granted herein by Exhibitor, its agents or representatives (whether due to willful acts, negligence, or otherwise).

SECURITY AND INSURANCE: NPACE does not provide additional guard service above and beyond what hotel/venue has in place, if any, during the hours the conference is closed. The Exhibitor is solely and fully responsible for its own exhibit materials and should insure its exhibit against loss or damage from any cause whatsoever. All property of an Exhibitor is understood to remain in its care, custody and control in transit to or from or within the confines of the Exhibit Area. Exhibitor shall also, at its sole cost and expense, procure and maintain throughout the term of this contract Comprehensive General Liability insurance with limits not less than $1,000,000 including Contractual Liability and Products Liability coverage and Workmen’s Compensation in full compliance with all laws covering Exhibitor’s employees. Proof of such insurances shall be provided to NPACE or its agent or representative upon request.

CARE OF BUILDING AND EQUIPMENT: Exhibitor, its agents and representatives must not injure or deface the walls or floors of the building, the exhibit spaces, or the equipment of the exhibit spaces. If Exhibitor or any of its agents or representatives causes any such damage, the Exhibitor is liable to the owner of the property so damaged and shall indemnify NPACE against any claims that may be brought against NPACE as a result thereof pursuant to the provisions of this Contract. All materials used in decoration must be flame proofed. The Exhibitor shall also comply with all reasonable requests of officials of the Hotel and NPACE with respect to the installation, conduct, and disassembly of its exhibit.

AGREEMENT TO RULES: Exhibitor, on behalf of Exhibitor and its personnel, employees, agents and representatives, agrees to abide by the foregoing rules and any amendments or additional rules that may be put into effect by NPACE.
